4K Alumni,

It is a pleasure to write to you about the exciting new changes that the Alumni Association, now called the Alumni Committee, is currently undergoing and to fill you in on exciting new volunteer opportunities for 4K alumni! Moving into the new year, it is our goal to reach out to our alumni in totally new ways. The Alumni Committee is still the 4K’s most powerful asset and the key to keeping the culture and tradition behind the 4K alive. While there have been many changes recently, the Alumni Committee is going strong and we want YOU to be involved!

What is the Alumni Committee?

The Alumni Committee is made up of numerous former riders who strive to stay in touch with the 4K and their teammates and to support the newest riders in their fight against cancer. Additionally, the committee is a way for alumni from all over the world to volunteer their time to participate in any project, large or small. The goal of the committee is to use the experiences of our alumni to strengthen the 4K and all future participants, and to build a community of friends, teammates, and warriors against cancer.

What is the structure of the Alumni Committee?

We have recently worked together to create a structure that we think will best support our alumni, our leaders, and our riders in the years to come. The Alumni Committee is subdivided into four subcommittees that each have specific projects to work on throughout the year. We have outlined this structure and each subcommittee’s responsibilities below so that you can discover how you’d like to get involved!

Do I have the time?

We all know that once we hug goodbye to our teammates at the end of our long journey, real-life responsibilities wait for us on the other side. Water-stops and popped tubes are no longer our primary concerns; our lives get busy and it becomes difficult to stay involved. This structure was designed so that anyone can become involved on any level. You can be a Subcommittee Co-Chair, a leader of any of the four subcommittees, or even volunteer to work on a small project for an event. There is no job too large or too small! Find the project that best fits into your life, and we’ll work with you to successfully make it happen!

How do I get involved?

That’s simple! If you’re interested in nominating yourself or a friend for one of the 10 leadership positions please follow these instructions:

2) Fill out the short form and submit!

A selection committee has been chosen to review the applications and select leaders to fill the positions. This is the timeline for the process:

Application deadline: Friday, February 3rd, 2012

Selection Committee notifies accepted leaders: Wednesday, February 8th, 2012

Positions are made public: Friday, February 10th, 2012

Once the leadership positions have been filled, those leaders will begin reaching out to alumni and providing opportunities for volunteers to step in and assist with projects of all sizes!

The 4K and The Ulman Fund are committed to making the 4K for Cancer Alumni Committee the strongest committee it can be by using all resources available and providing the support that our riders and alumni deserve. The 4K is unique because our strength comes from our riders who fight the good fight against cancer in an epic and passionate way. Passionate riders become passionate alumni who keep that fire alive in the hearts of all that know and love the 4K. Alumni Committee Structure


Board of Director’s Liaison 

The Board Liason is the voice of the Alumni Committee to the Ulman Cancer Fund Board of Directors. While advocating for the Alumni Committee, the liason will ensure that any support and resourses needed are readily available to the subcommittees and alumni volunteers. The lisaon will work closely with the Subcommittee co-chairs and leaders to assist with the overall vision and direction of the alumni committee and the completion of the many exciting projects.

Alumni Committee Co-Chairs 

(2 Co-Chairs)

The Committee Co-Chairs are a resource for the leaders of the four subcommittees. Working to grow the Alumni Committee roster, they act as a point of contact for any alumni inquiries and assist alumni volunteers in finding tasks that correspond with their interests. Additionally, the co-chairs produce the alumni newsletter, maintain and update the alumni page on the website, and keep alumni well-informed on all events and activities happening in the Alumni Committee.

Mentoring
Subcommittee
 

(2 leaders)

This subcommittee works to expand the existing mentor program. They will recruit alumni to be paired up with current riders to act as their mentor before, during, and after the ride as they transition into the Alumni Committee.

Goals:

(1) Create a written dialogue to guide/spark conversations between current riders and their alumnus mentor by Feb 19th.

(2) Work with Co – Chairs of Alumni Committee to recruit 90 alumni to serve as mentors by Feb 12th.

(3) Launch the mentor program no later than Feb 26th, 2012.

(4) Create an evaluation on how to improve the mentor committee for 2013 riders by Aug 19th.

(5) Create a calendar of events for the mentor committee for the 2013 ride by Aug 19th.

Recruitment
Subcommittee
 

(2 leaders)

The Recruitment Subcommittee works with staff to create an effective recruitment strategy for the summer riders. They will put their plan into action through recruitment events, utilizing alumni volunteers to get the word out about the 4K!

Goals:

(1) Develop a marketing/recruitment strategy for recruiting 2013 riders by June 1st.

(2) Create a list of target schools by June 1st.

(3) Have 99 riders registered for 2013 by December 1st, 2012.

Events Subcommittee 

(2 leaders)

This subcommittee works to bring alumni together to celebrate and re-live the ‘good ole days’ on the 4K! In addition to planning small social events throughout the year, the Events Subcommittee assists with the social events surrounding send-off weekend.

(1) Set up one Happy Hour event during April.

(2) Create an agenda for send off weekend.

(3) Have people signed up for send off weekend by May 15th.

(4) Execute send off weekend.

(5) Set up one Happy Hour event during September

(6) Set up one Happy Hour event during December

(7) Set up Open House for the last Friday in January, 2013.

Leadership

Using the experience and expertise of our alumni network, this committee helps staff develop a plan to train riders to become effective leaders and plans workshops that take place throughout the Spring and into send-off weekend

Goals:

(1) Create 6 positions specific groups within the sub committee to help monitor and guide the monthly leadership meetings.

(2) Work with staff to create and execute a leadership-training seminar during training weekend.

(3) Create “how to” packets specific to each leadership-training seminar during training weekend.

(4) Create an evaluation on how to improve the leadership committee for 2013 riders by Aug 19th.

(5) Set up a general leadership meeting for the first weekend of February 2013.
